Objects may come from different lenders, cities and countries, but they must arrive with the correct documentation, in the required sequence and within the venue’s installation schedule.
The first stage establishes the logistical structure of the exhibition.
Each loan is tracked as an individual movement within the wider programme.
The programme must account for individual availability, packing completion, export formalities and transport connections.
Loan Documentation
Loan agreement references, object schedules, valuations, insurance certificates, packing instructions and condition documentation.
Temporary-import identification, guarantees or deposits, arrival records, deadlines, extensions, re-export scheduling and proof of exit.
Collection instructions, freight documents, courier directions, venue delivery details and emergency contacts.
Deinstallation sequence, repacking confirmation, return dispatch, lender delivery and proof of return.
Consolidation
Where timing, packing, geography and customs requirements allow, compatible consignments may be consolidated while each lender’s documentation and object identity remain separate.
Venue Delivery
Vehicle slots, security access, crate unloading order, temporary crate holding, unpacking locations, movement routes and gallery readiness are coordinated with the venue programme.
The schedule coordinates objects, technicians, equipment, curators, registrars and venue access.
The closing programme reverses the exhibition process in a controlled sequence.
Project Communication
Completed collections, departures, arrivals, customs progress and venue deliveries.
Packing completion, document readiness, crate availability and installation dependencies.
Schedule changes, revised priorities, outstanding actions and decision deadlines.
Installation completion, return progress, lender delivery and final file closure.
